# WhatsApp automation on Android: tools, limits and strategies

> Many businesses run their WhatsApp from a single Android phone. The WhatsApp Business app automates a little, auto-reply apps promise more, and at some point the phone itself becomes the bottleneck. Here is what each option can do and when to move on.

## What the WhatsApp Business app automates

The free WhatsApp Business app, available on Android and iPhone, includes a few automation features that cost nothing and carry no risk:

- **Greeting message**: sent automatically the first time someone writes to you, or after a long gap.
- **Away message**: sent outside the business hours you set, or always, while you are unavailable.
- **Quick replies**: saved answers you insert by typing `/` and a shortcut, for questions you get every day.
- **Labels**: coloured tags such as "New order" or "Paid" to sort chats. You apply them by hand.
- **Catalog**: products or services customers can browse inside the chat.
- **Business profile**: address, hours, website and description shown to customers.

Set these up first. A greeting that tells customers your hours and what information to send already saves a lot of back and forth. To bring customers into the chat in the first place, create a click-to-chat link and QR code with our [WhatsApp link generator](https://getoxtro.com/whatsapp-link-generator).

### Where the Business app stops

- Greeting and away messages are fixed text. There is no logic, no conditions and no way to answer a specific question automatically.
- Nothing connects to your other systems. An order in your shop does not send a WhatsApp update by itself.
- One phone means one person at a time. Linked devices let you open the same account on a few computers or tablets, but there is no assignment, no internal notes and no way to see who answered what.
- Broadcast lists only reach people who saved your number, and sending the same text to many people by hand is slow and error-prone.

## Auto-reply apps on Android

Play Store apps that promise WhatsApp auto-replies usually work by reading notifications and replying through them. They can answer keywords with set text, but:

- they need wide access to your notifications, which includes every message from every app;
- they stop working when the phone sleeps, the app is killed by battery optimisation, or WhatsApp changes its notifications;
- they cannot start a conversation, send to a list or connect to your shop or CRM;
- fast, identical replies at all hours can make a number look automated to WhatsApp.

They are fine for a personal "I'm driving" reply. They are not a base for a business.

## Moving beyond the phone

When the phone becomes the bottleneck, there are two ways forward. Both let you keep the number your customers already have.

### The official WhatsApp Business Platform

Meta's API, used directly or through a provider. It is built for large volumes and backed by Meta's policies, but it needs business verification, and messages you start more than 24 hours after a customer last wrote must use templates Meta has approved. Check with the provider whether the number can stay in the WhatsApp Business app at the same time; without that option, a number moved to the platform no longer works in the app.

### A linked-device service such as Oxtro

Oxtro, our product, connects to your existing number as a linked device, the same way WhatsApp Web does. You scan a QR code once, and the phone keeps working as before. From then on:

- your team answers every chat in a **shared inbox**, side by side, with conversations assigned to people;
- **templates with variables** replace copy-paste, for example "Hi {{customer_name}}, your order {{order_number}} has shipped";
- **campaigns** send a template to a tagged list of contacts at a controlled pace;
- your shop or backend sends order updates and login codes through the **REST API**, and receives replies through **webhooks**.

There is no verification step and no template approval. The trade-off: Oxtro is not the official platform, so WhatsApp's rules about automated messages apply to your number. Read the [number safety guide](https://getoxtro.com/docs/number-safety) before you automate.

## Strategies that keep automation working

- **Automate the expected messages first.** Order confirmations, shipping updates, appointment reminders and verification codes are messages customers want. Start there, not with promotions.
- **Ask before you add someone.** Collect the number yourself, say you will message on WhatsApp, and keep a note of it.
- **Keep a person in the loop.** Automation should start conversations and answer routine questions. When a customer replies, a human should be able to take over in the same thread.
- **Send personal content.** Use variables so each message is about that customer's order or appointment, not the same text to everyone.
- **Pace your sending.** A burst of hundreds of messages from a number that normally sends a few dozen looks like spam. Raise volume gradually.
- **Watch the signals.** If people block you or messages start failing, slow down and look at what you are sending.

## A simple path

1. Set up greeting and away messages and quick replies in the Business app today.
2. When more than one person needs to answer, move to a shared inbox.
3. When your shop or app should send messages on its own, connect it through an API.

If you sell online, see how [order notifications](https://getoxtro.com/use-cases/order-notifications) work with Oxtro, or read the [WooCommerce integration](https://getoxtro.com/integrations/woocommerce).
